Welcome to A World Within Reach LLC. These Terms and Conditions govern your use of our travel services and outline policies and responsibilities for your booking. By confirming your booking with us, you agree to these terms on behalf of yourself and your travel party. Please review them carefully, as they form a legally binding agreement.
1. General Terms
These Terms and Conditions govern the relationship between A World Within Reach LLC (“A World Within Reach” or “AWWR” or “we/us/our”) and you, the purchaser or traveler (“Client” or “you/your”). By planning travel with AWWR, you agree to these terms and acknowledge that AWWR acts solely as a booking agent for third-party suppliers, including tour operators, hotels, airlines, transportation providers and other independent contractors providing accommodations, transportation, and other services (“Suppliers”). AWWR is not the source or direct provider of travel services. These terms include warranties, disclaimers, and exclusions that may limit your rights and provide protections to AWWR.
2. Travel Insurance
Travel insurance is not included in our packages.
We highly recommend you secure adequate coverage for your travel needs, including trip cancellation, interruption, medical coverage, and lost baggage.
Travel insurance is always recommended to cover certain risks inherent to travel. Insurance protects your financial risk in the event you or someone in your group cancels pre-departure, within the boundaries of the policy terms. If you would like to receive a direct quote, kindly reach out to your AWWR advisor for a customized quote.
It is your responsibility to know what your insurance policy covers, and to put alternative coverage in place, if you wish to insure for conditions that are excluded by your policy. If you feel there are gaps in your coverage (note: some credit card companies offer limited coverage), we are happy to connect you with the appropriate provider.
Please choose to ACCEPT or DECLINE insurance for all bookings. Without appropriate coverage, you accept responsibility for costs related to cancellations or disruptions, as AWWR and Suppliers will apply cancellation penalties. AWWR cannot guarantee coverage approval for claims under any insurance policy provided or quoted.
3. Passports, Visas, and Entry/Exit Requirements
Clients are responsible for obtaining valid passports, visas, and necessary health documentation to meet the entry and exit requirements for each destination. Passports must be valid for at least six months after entry, with at least three blank pages. Failure to meet entry requirements may result in denied boarding or deportation, without refund eligibility.
Each traveler is advised to check with the relevant embassy and the U.S. State Department website for detailed information on entry requirements, health regulations, and transit policies. For assistance, we recommend the CIBT Visas Informed Traveler Program, which provides a full itinerary review and 48-hour pre-departure updates.
You are responsible for reviewing all potential entry and exit requirements (i.e. COVID, Visas, etc.) and intend to supply the necessary documentation to any agencies, government, and/or other organizations as required by current policies in place.
4. Our Liability and Responsibility
As a booking agent, AWWR works with independent suppliers and is not responsible for their actions, omissions, or policies. Our obligation is limited to arranging services provided by third parties. In the event of trip interruption, delay, or cancellation, applicable refunds will be governed by each supplier's policies.
Limitations of Liability: We disclaim liability for any indirect, consequential, or incidental damages, including any injury, loss, accident, or delay beyond our control.
Disclaimer: The responsibility of A World Within Reach LLC. d.b.a. Smartflyer is to organize, promote, and sell tour programs consisting of certain travel services, including surface, air and water transportation, sightseeing excursions, and cruise/hotel accommodations, that Smartflyer purchases or reserves from various suppliers. Smartflyer does not own or operate any of these Suppliers. The Suppliers providing travel services for Smartflyer initiated programs are independent contractors and are not agents or employees of Smartflyer. As such, Smartflyer is not responsible for direct, indirect, consequential, or incidental damage, injury, loss, accident, delay, or irregularity of any kind occasioned by reason of any act or omission beyond its control, including, without limitation, any negligent or willful act or failure to act of, or breach of contract by, any Supplier or any other party. By utilizing the travel services of the Suppliers, you agree that you will look only to such Suppliers in respect of any accident, injury, property damage, or personal loss to you or to those traveling with you, and that neither Smartflyer nor any representative of Smartflyer shall be liable.
5. Price Policy and Fluctuations
Quotes are accurate at the time of delivery but may change until a deposit is made and booking is confirmed. Please review confirmations promptly (within 24 hours) to avoid penalties. Prices may fluctuate due to changes in exchange rates, fuel costs, and taxes. Full payment guarantees the price; otherwise, adjustments may apply. Clients accept potential price changes and authorize payment as needed.
You are responsible for your choices made in your travel plans. You acknowledge that you have reviewed, discussed and agreed to potential fee structures working with AWWR. You acknowledge paid fees are non-refundable.
6. Special Circumstances and Force Majeure
Unforeseen events such as natural disasters, acts of terrorism, political instability, pandemics, or other circumstances beyond our control may impact travel plans. In such cases, we reserve the right to alter or cancel itineraries as necessary, without liability for compensation in these cases.
7. Airline Schedule Changes, Delays, and Cancellations
Airlines may change schedules without notice. While we strive to rebook affected flights, we do not guarantee departure times or schedules and we are not responsible for delays or cancellations caused by the airline. Clients booking flights independently are responsible for managing any changes to their bookings.
8. Safety and Health
Clients should stay informed of local conditions, travel advisories, and health requirements. Proof of immunizations may be necessary for certain destinations. We recommend enrolling in the U.S. Smart Traveler Enrollment Program (STEP).
9. Data Protection and Privacy
We respect your privacy. Personal information will only be used for booking and service purposes and may be shared with third-party suppliers as needed. Please refer to our Privacy Policy for details.
10. Complaints
We strive to do all we can for you to have a seamless and unforgettable travel experience. Should there be opportunities for improvement, please let us know. For complaints during travel, please contact your destination representative, local agent or our AWWR helpline. Complaints should be reported immediately to allow for resolution. Unresolved issues should be reported to our Client Services within 28 days of your return. Failure to report promptly may impact compensation claims.
11. Intellectual Property and Media Consent
All content on our websites is proprietary. Unauthorized use is prohibited. By participating in any AWWR travel activities, you consent to the use of photos or videos taken of you for promotional purposes unless otherwise notified in writing prior to departure.
12. Changes to Terms and Conditions
We reserve the right to update these Terms and Conditions at any time. Updated terms will be posted on our website, and continued use of our services constitutes acceptance of the new terms.
